How CrewRoster handles volunteer information
This page describes CrewRoster's general data practices. It isn't a substitute for legal advice, and organizations using CrewRoster may have their own additional policies.
When you register as a volunteer, CrewRoster collects your name, email address, phone number, city, emergency contact name and phone number, group size (if registering with others), and your role preferences for the event.
This information is used to coordinate volunteer assignments for the event or events you've registered for — things like scheduling, contacting you about your role, and reaching your emergency contact if needed.
Visible to organizers of any organization whose event you've registered for or been added to — not to organizations you haven't signed up with. If you happen to volunteer for more than one such organization, your core profile (name, phone, emergency contact) is the same shared record across them, rather than a separate copy for each. It is also visible to CrewRoster administrators.
CrewRoster uses Resend to deliver emails (such as confirmations and assignment notifications) and standard hosting and database infrastructure to run the application. These providers process data on our behalf to operate the service — they don't use your information for their own purposes.
Volunteer information isn't automatically deleted. It persists in the system across events so you don't have to re-enter it each time you volunteer again, unless you ask for it to be removed.
To ask a question about your data, or to request a change or removal, contact the organization you volunteered for directly, using their contact email if they've provided one. Exactly how requests are handled may vary from one organization to another.
If a volunteer is under 18, a parent or guardian should be involved in registering them and reviewing this policy.
